Covid 19 vaccination management system in BPM tool Appian . Showing how Appian can be used in adverse times .

Problem 

The global health pandemic caused by the COVID-19 Coronavirus has impacted everyone's life and governments around the world are spending millions on software to manage vaccination roll out plan. This inspired us to think about how we can use the Appian for the community.

  • The number of hard copies has increased dramatically, and users, and the government is having a hard time managing the history of each vacation. 

 

Solution 

This solution helps the customers to easily check their eligibility and provide supporting information to make vaccination booking all in one go. Customer can use a web browser or their mobile devices to access the application and can receive a confirmation in the form of an email or SMS along with a QR code that will be used at the Vaccine center or at Immigration.

My role: UI / UX designer and product analyst 

As UI / UX designer analyst of the project, I aimed to design a product for the needs and context of the target users. I took off by understanding how Appian works and how flexible the tool is. 

 

Created a user-friendly environment to suit technology, ambitions, and user requirements.

 

Later, I synthesized the findings into a process flow, User story, and persona and decided how our product will be executed.  I designed the initial wireframe to achieve the first look and feel of the product.

 

The wireframes were designed and iterated several times to achieve the most optimized process flow of the product. The deliverables were high-fidelity wireframes and prototypes that were tested

Conceptualization, Ideation, user flows, low fidelity and high fidelity wireframe, rapid prototype & testing, user research, user journeys, Logic flow, persona, stakeholder, and User story.

The team included UI/UX designer(me) and Appian Solution designer  

Process overview

This process has five major steps:
It starts with registration for vaccination. Followed by Eligibility Check, and if the customer is eligible for vaccination they can Schedule an appointment to receive their vaccine and receive the first and the second dose 28 days apparat, At the end covid passport will be generated.

Business process


This is an overview of the business process. After registration, the system will check if the customer is eligible for vaccination, If the customer is eligible, they will get an option to schedule an appointment.
 
In case of any pre-existing health condition, Docter pre-approval is required before moving forward.  If the customer is not eligible, they will be added to the waiting list, and when their turn arrives system will notify them to schedule an appointment.

Technology stack

We used the following technology stack to build this application, where Appian bpm capability is at the core of all. Google API is used to search addresses, show directions, and generate QR codes, I am using Twilio to send reminder SMS and Focus for doctors to preapprove patients. and at the end, Appian RPA is used to update a legacy system

 

On appointment day, john will meet pia, who is a nurse at the vaccination center, she will scan john's QR code and load his profile while reviewing his profile she will, notice that john had not uploaded his id proof so she will upload on behalf of him

Designing And
Product Interface

The first steps were exploring the product's features, flow, and connections.

Keeping the flow of the production in mind, I started to create high fidelity wireframe and parallelly discussed it with team member (decision making on what users are looking for and how to articulate it in the product ) and gradually kept updating the key features of the product after continuous irritation after design meetings.
